Schichtplan
Plan shifts, duties and rotations together - with qualifications, absences and staffing requirements in view. When something changes at short notice, existing assignments are kept wherever possible.
Why
Less time on planning. More time for care.
A duty roster is rarely finished. Absences change, requests come in, assignments have to be moved. Every adjustment can set off further changes and call for another round of coordination.
Schichtplan helps to build a workable plan and to adjust it deliberately. The people responsible for planning keep the overview and decide which changes are adopted.
Staff view
The duties per person.
The individual duties and assignments over time, so the plan can be followed for every single person.
Coverage: spot deviations from minimum and target staffing at a glance Coverage
See where staff are missing.
Which shifts and duties fall below the defined minimum or target staffing is visible straight away - and with it, where the plan still needs work.
Requests and leave: staff enter leave and preferred days off themselves Requests and leave
Enter your own requests.
Optionally, staff enter their preferred days off and leave themselves. Automatic reminders help them submit in time.
Dashboard: review incoming requests and recalculate the plan Dashboard
Adopt changes deliberately.
Everything submitted arrives in one clear list for the planners, who can decline a request or take it into the plan. One click recalculates.
At a glance
Duty planning, rotations and qualifications in one application.
The departments in view
The weekly view shows who is deployed in which department - staffing and planned rotations across several weeks.
Matching qualifications
Schichtplan takes staff qualifications into account automatically when duties are filled.
Development, planned in
Rotations are scheduled and individual qualification progress is recorded - duty planning and training stay aligned.
Across departments
Moves between the emergency department, intensive care and diagnostic units can be planned together, for specialist training for instance.
The team kept in one place
New staff, updated qualifications and departures are managed centrally and taken into account in the planning.
A quiet recalculation
Recalculating changes as few existing assignments as possible, so the knock-on effects for the rest of the team stay small.
Starting point
The idea came out of experiences among friends: people who work in hospitals and build duty rosters themselves described how much effort the planning takes. Short-notice changes cost time and nerves in particular - qualifications, staffing, rotations and personal requests have to be reconciled again and again. That ties up time that is missing from patient care.
Approach
We developed and tested Schichtplan in close collaboration with several hospitals. The focus was on how the work actually runs on site: which departments are planned together? Which qualifications are required? How are rotations, requests and short-notice changes accounted for? Out of that came software that adapts to different structures and local requirements.
Outcome
Schichtplan brings duty planning, rotations, qualifications and absences together in one application. Different views make assignments and staffing gaps visible, and changes can be recalculated without reworking the entire plan by hand. The decision stays with the people responsible for planning.
